# Import documents from your inbox

> Connect your inbox so Billpal imports invoices and receipts from it automatically.

When you connect an inbox, Billpal looks through it for invoices, receipts, and credit notes and adds them as documents to your workspace. After that it keeps running in the background: when a new invoice arrives by email, it shows up in Billpal on its own.

## Choose your provider

Go to **Settings > Email** and click **Add**. If no inbox is connected yet, the button says **Connect email**. Then pick your provider.

| Provider | Sign-in | Guide |
| - | - | - |
| **Gmail** | With your Google account | [Connect Gmail](/en/gmail) |
| **Microsoft** | With your Microsoft account, for example Outlook.com or Microsoft 365 | [Connect Microsoft](/en/microsoft) |
| **iCloud** | With an app-specific password for your Apple Account | [Connect iCloud](/en/icloud) |
| **Yahoo** | With a Yahoo app password | [Connect Yahoo](/en/yahoo) |
| **IMAP** | For any other provider, with a password or app password | [Connect an inbox with IMAP](/en/imap) |
| **Forwarding** | No access to your inbox. You forward invoices to a Billpal address | [Forward invoices](/en/forwarding) |

## What Billpal imports

Billpal looks for emails that read like an invoice, for example because "invoice", "receipt", or "Rechnung" appears in the subject or body. Those emails become documents:

* **PDF attachments** up to 10 MB are imported. Each PDF becomes its own document.
* **Invoices in the email body:** If the email has no PDF but is itself the invoice, such as an order confirmation with an amount, Billpal saves the body as a PDF and creates a document from it.
* **Invoices behind a login:** If the email only links to a customer portal, Billpal can't reach the invoice. You get a notification and can connect the portal from there. See [Portals](/en/portals).

Billpal doesn't import images from emails, such as photos or scans attached as JPG or PNG. You can [upload](/en/upload) those or send them via [WhatsApp](/en/whatsapp).

If the same document arrives twice, say by email and by upload, Billpal keeps one.

<Note>
Billpal doesn't change anything in your inbox. Emails aren't marked as read, moved, or deleted.
</Note>

## How far back Billpal imports

When you connect, **Start date** sets the date from which Billpal imports documents from the inbox. Older emails are left alone.

| Option | Billpal imports documents |
| - | - |
| **Current month** | from the first of this month |
| **Starting today** | from today on |
| **Last 30 days** | from the last 30 days (default) |
| **Last 90 days** | from the last 90 days |
| **Custom date** | from a date you choose |
| **All past email** | from the whole inbox |

Going back more than 90 days can bring in a lot of documents, and each one counts toward your allowance. Billpal asks you to confirm first: check "I understand this may lead to additional charges".

Later, you can only move the start date earlier. Billpal then imports the older documents.

**All past email** isn't available during the trial. See [Trial](/en/billing#trial).

## Outgoing invoices from your Sent folder

By default, Billpal looks through your inbox. If you send your own invoices by email, check **Also import invoices from your Sent folder** when you connect. Your outgoing invoices then land in Billpal as well. Billpal never looks in Trash or Drafts.

## After you connect

Billpal shows "Documents are now being imported. This may take a few minutes." A long date range makes the first import take longer. After that, Billpal keeps checking the inbox for new documents.

Don't want to wait? Click **Sync** on the inbox, and Billpal checks for new documents right away.

## Several inboxes and workspaces

You can connect as many inboxes as you like. Each inbox belongs to the workspace you connected it in, and its documents land there. To use the same inbox in a second workspace, switch to that workspace and connect it there too.

Every workspace member can connect their own inboxes. Only an admin can change or delete an inbox someone else connected.

## Block senders

Under **Settings > Email**, below your inboxes, you'll find **Blacklists**. Add email addresses or domains Billpal shouldn't import from, for example a newsletter that keeps getting picked up as an invoice. The list applies to every inbox in the workspace. Documents already imported stay.

When you remove a sender from the list, Billpal imports their new invoices again. Check **Also import past invoices from this sender** to also bring in the invoices skipped in the meantime.

## Pause, change, or disconnect an inbox

Under **Settings > Email**, click the inbox. In **Edit email account** you can:

* move the **Start date** earlier,
* include or exclude the Sent folder,
* stop the import with **Pause** and restart it with **Activate**,
* disconnect the inbox with **Delete**. Documents imported from it stay in Billpal.

These changes only apply to new emails.

## When an inbox stops importing

| You see | Cause | Fix |
| - | - | - |
| **Expired** or "This inbox needs to be reconnected" | The sign-in with your provider is no longer valid, for example after a password change. | Click **Reconnect** and sign in again. |
| **Inactive** | The inbox is paused, or your trial has ended. | Click **Activate**. After the trial, you need a subscription first. |
| "Sync failed. Please try again." | The provider was briefly unreachable. | Click **Retry sync**. If it still fails, reconnect the inbox. |
| "This inbox is already connected to this workspace" | The inbox is already connected here. | Nothing to do. You can connect it in another workspace as well. |
