Tags let you sort documents by your own labels, for example by project, client or vehicle. A document can have several tags. Tags belong to the whole workspace, so every member sees and uses the same ones.

Tag a document

  1. Open the document and click Edit.
  2. On the General tab, click the Tags field and pick a tag from the list.
  3. If the tag doesn’t exist yet, type its name and click Create ”…”.
  4. Click Save changes.
A tag name can be up to 64 characters and must be unique within the workspace.

Tag many documents at once

Select the documents under Documents and click Add tags in the bar at the bottom. The tags you pick are added to the ones already there; existing tags stay. To do this automatically, for example for every invoice from a certain supplier, create a rule with the action “Add a tag”.

Filter by tags

Under Documents, click Filters, open the Tags section, pick one or more tags and click Apply. If you need this view often, save it as a view of its own.

Rename, recolor and delete tags

In every tag list, whether on a document, in the bulk selection or in a rule, two icons appear when you hover over a tag:
  • Pencil: opens “Edit tag”, where you change the name and color. The change applies right away to every document with that tag.
  • Trash can: deletes the tag and removes it from every document.
Billpal can’t delete a tag that an active rule still assigns. Remove it from the rule first or turn the rule off. The colors on offer when you create a tag are set under Edit tag colors in the same window. This palette applies to the whole workspace, and only an admin can change it.

Tags in exports

In the Excel and CSV exports, a document’s tags have their own column, so you can, for example, total a project’s costs in the spreadsheet. Billpal doesn’t pass tags to DATEV, BMD or DVO. More under Exports.
Tags are not the same as a document’s cost center. You enter the cost center as a reference, see Find and edit documents.
