With WhatsApp, a receipt reaches Billpal while it is still in your hand. Take a photo, send it to Billpal, and Billpal files the document in your workspace. PDFs work the same way.

Connect your number

1

Open the WhatsApp settings

Go to Settings > WhatsApp and click Connect WhatsApp.
2

Enter your number

Pick the country code and enter your phone number. Tick “I consent to connect my WhatsApp number to Billpal.” and click Send code.
3

Confirm the code

Billpal sends you a 6-digit code on WhatsApp, not by SMS. Enter it and click Verify number.
The code is valid for 10 minutes. If nothing arrives, click Resend code under “Didn’t get a code?”. After five wrong entries, Billpal stops accepting that code for 15 minutes. Request a new one instead. The code comes from the Billpal chat. That is the chat you send your documents to later. You can also find the number in your settings: click your number under Settings > WhatsApp. Under “Billpal number” you can copy it and save it as a contact.
You can connect up to four numbers. A number can only belong to one Billpal account.

Send documents

Send photos or PDFs to the Billpal chat. Billpal accepts JPG, PNG, WebP and PDF, up to 20 files at a time. If you send more, Billpal asks you to wait until the first ones are done. Billpal replies right away that your files arrived. Once a document is done, you get a summary:
  • document type and supplier
  • date and amount, with net and VAT
  • invoice number and category
  • a link straight to the document in Billpal
If a document needs a review, the reply says why. See Review documents. If you already sent the same file before, Billpal does not file it twice and tells you so.

Invoices with several pages

Take a photo of every page and send them all together. Billpal recognizes which pages belong to the same invoice and turns them into one document. Once Billpal has replied, a missing page can no longer be added. Delete the document in Billpal and send all pages again together.

Which workspace documents go to

If you are in one workspace, documents go straight there. If you are in several, Billpal sends you a picker. Tap Choose workspace and pick where the documents should go. Documents count toward the allowance of the account that owns the workspace. Members can connect their own number too. Whatever they send is visible to everyone in the workspace.

Ask questions

You can also ask Billpal questions in the same chat, as text or as a voice message. Billpal explains how something works and where to find a setting. Billpal does not change your documents from the chat. It also can’t see lists, totals or your remaining allowance there. Open the dashboard for those.

Trial

WhatsApp works during the trial. Once the trial ends or its 50 documents are used up, Billpal stops accepting files and tells you so in the chat. Subscribe under Settings > Billing and send the files again.

Manage a number

Click a number under Settings > WhatsApp to edit it.
  • Pause: Billpal stops accepting documents from this number. Click Activate to resume.
  • Your number: If you change the number, you have to verify it again. Click Continue setup to do that.
  • Display name: The name the connection has in your settings.
  • Delete: Removes the connection for good. Documents you sent from this number stay in Billpal.

Troubleshooting

Check that the country code is right and that WhatsApp runs on exactly this number. Then click Resend code.
You are writing from a number that is not connected or not verified yet. Connect it under Settings > WhatsApp or finish verifying it there.
Click the number under Settings > WhatsApp, then click Activate. Send the file again afterwards.
A number can only belong to one Billpal account. Disconnect it in the other account first, or connect a different number.
